PURPOSE Grow and energize the MTBCO community. As a Community Team Director, you’ll work with three co-directors as a team across events, partnerships/sponsorships, marketing/comms, and memberships so riders feel welcomed, informed, and stoked to be part of MTBCO.
HOW THE TEAM WORKS • One team, four directors: Everyone contributes across all four streams. • Rotating leads: Each project has a single Project Lead; others support. • Shared playbooks: Reusable run-sheets, sponsor decks, content calendars, and templates keep it smooth.
1) Community & Membership • Create a welcoming on-ramp for riders of all levels; support meetups, rides, clinics, and partner events. • Run simple membership campaigns (welcome flows, renewal nudges, perk roundups). • Keep the member journey smooth (sign-up, FAQs, DM responses) and track basic metrics (new, renewal, churn). • Develop and implement an annual membership growth strategy and track progress throughout the year. • Represent MTBCO at local events, trail days, and outreach to promote membership and belonging. • Maintain an up-to-date membership database; ensure the online sign-up process is smooth (with Tech). • Build relationships with shops/businesses to offer member discounts/perks and align benefits with drives.
2) Events (collaborative) • Plan and deliver regular community events (group rides, socials, Women’s MTB Day, Season Kickoff/Wrap, AGM) using shared run-sheets. • Ensure basics: permits/permissions as needed, waivers, first-aid plan, safety brief, radios/incident log. • Recruit micro-roles (greeter, sweeper, photographer) via a single volunteer form; thank and recognize helpers. • Liaise with City of Kelowna, Tourism Kelowna and stakeholders as needed for approvals and partnerships. • Recruit, schedule and brief volunteers; run check-in, basic timing, awards, and participant questions on-site. • Support Cranksgiving with bounded roles (e.g., reg desk, sponsor prizing, vendor coordination, course support). • Uphold risk & compliance: sanctioning/insurance/waivers/EAP/first-aid coverage for every event. • Keep SOPs, run-sheets, volunteer lists and lessons-learned current for easy hand-offs.
3) Marketing & Communications • Keep a friendly, consistent voice; publish a simple cadence (1–2 social posts/week, monthly newsletter in season). • Promote trail days, events, membership drives, and sponsor spotlights; respond to DMs/contact form or route quickly. • Keep brand assets tidy (Canva kit, templates, photo folders) and key web pages current (Join, Events, Trail Work). • Guide overall marketing/communications strategy in collaboration with the board. • Oversee delivery of content across channels (social, website, email, posters) and maintain brand voice/visuals. • Respond to inbound member inquiries and route to the right board owner when needed. • Identify when volunteer/design support is needed and coordinate extra hands.
4) Partnerships, Sponsorships & Grants • Build and steward relationships with shops/businesses; secure cash or in-kind support aligned to clear benefits. • Deliver sponsor obligations (logos, tags, posts, signage) and send brief post-event thank-you/recap. • Help identify/draft grant opportunities and track simple reporting with the Treasurer. • Identify and cultivate partners; develop tailored proposals that secure long-term commitments. • Negotiate sponsorship agreements and ensure all deliverables are met and reported. • Research/write grants (e.g., City/Provincial/Federal) and manage reporting/compliance. • Contribute to MTBCO’s financial sustainability strategy with Treasurer alignment; represent MTBCO with external stakeholders (e.g., City Sport & Event Services).
TIME & TERM • ****~10 hrs/month, heavier spring–fall. • Two-year volunteer term.
